RM Hub Wellness respects your privacy. This Privacy Policy explains how RM Hub Wellness collects, uses, stores, retains, and deletes personal data when you use our website, mobile app, class booking, membership, QR check-in, coaching, and customer support services.
Data we collect
Depending on how you use RM Hub Wellness, we may collect the following data:
- Account and contact details, such as your name, mobile number, email address, and login information.
- Booking and membership details, such as class reservations, package purchases, membership status, attendance, cancellations, trainer bookings, and QR check-in records.
- Payment-related records, such as payment status, transaction reference, package type, and invoices. Full card details are processed by our payment provider and are not stored by RM Hub Wellness.
- Messages and support information you send to us through the app, website, email, phone, or in person.
- Technical and device information, such as app version, device type, operating system, crash logs, diagnostics, and usage activity needed to operate, secure, and improve the service.
How we use data
We use personal data to create and manage your account, process class bookings and memberships, enable QR check-in and attendance tracking, provide personal trainer and customer support services, communicate service updates, maintain security, comply with legal requirements, and improve RM Hub Wellness services.
How we share data
We do not sell your personal data. We may share data only with trusted service providers who help us run the app and business, such as hosting, analytics, messaging, payment, booking, and support providers. We may also share data if required by law, regulation, legal process, or to protect the rights, safety, and security of RM Hub Wellness, our users, or others.
How long we retain data
We retain personal data only for as long as needed for the purposes described in this Privacy Policy, unless a longer period is required by law.
Account and profile data
We keep your account and profile information while your membership account is active. After you submit an approved account deletion request, we deactivate the membership account and anonymize or restrict personal data linked to that account within 30 days, except where we must keep certain information for legal, tax, accounting, fraud prevention, security, or unresolved dispute reasons.
Membership, plans, and plan history
We retain membership and plan information (including plan history, plan features such as chosen classes, and related administrative records) for the life of the active membership and for up to 24 months after your last recorded activity on the service (for example, last login, booking, attendance, or membership-related transaction), so we can operate memberships, renewals, billing context, and member support. Longer retention applies where law requires it.
Class and trainer packages, bookings, attendance, cancellations, and check-ins (including QR)
We retain records of classes and trainer-led sessions you interact with (including bookings, attendance, no-show or offence-related records where applicable, cancellation requests and outcomes, and QR or door access events tied to check-in) while your account is active and for up to 24 months after your last related activity, to run the gym service, validate access, resolve disputes, and support customer service. Some records may be kept longer if required for legal, safety, or security reasons.
Payments, invoices, tax, and accounting
We retain payment, invoice, tax, and related transaction records for up to 7 years where required for legal, tax, audit, accounting, or dispute-resolution purposes.
Messages and support
We retain Contact Us, personal trainer requests, and similar support communications for up to 24 months after the case is closed, unless a longer period is needed for an open dispute, legal obligation, or security investigation.
Technical logs, security, and abuse prevention
We retain technical logs, security-related records, and similar data for up to 12 months, unless we need them longer to investigate fraud, abuse, security incidents, or ongoing service or legal matters.
Backups
We maintain production backups to protect the service and support recovery. Production data is backed up every 12 hours. When data is deleted, deactivated, anonymized, or restricted in active systems, the same change is reflected in future backups. Older backup copies may temporarily contain the previous data until they are overwritten or purged through our normal backup cycle, subject to technical and operational constraints.
How data is deleted
You may request deletion of your account and personal data by emailing info@rmhubwellness.ae with the subject line "Delete my RM Hub Wellness account". Include the email address and/or mobile number linked to your account so we can verify your identity and process the request.
After verification, we will deactivate your membership account and anonymize or restrict personal data linked to your account within 30 days, except for information we must retain for legal, tax, accounting, fraud prevention, security, unresolved disputes, or legitimate business records. That retained information is limited to what is necessary and is deleted when the applicable retention period ends.
Your choices and rights
You may contact us to access, correct, update, or delete your personal data (subject to legal exceptions), ask how your data is used, or withdraw optional marketing or non-essential communications where we offer them.
Security
We use reasonable administrative, technical, and organizational measures to protect personal data. No online or mobile service can guarantee complete security, but we work to protect data against unauthorized access, loss, misuse, alteration, and disclosure.
Children
RM Hub Wellness allows members aged 16 to 17 only with a signed waiver or consent from a parent or legal guardian confirming that they are allowed to use the gym and related services. We do not knowingly allow younger children to create accounts or use the service. If you believe a child has provided personal data without the required parent or guardian consent, contact us and we will take appropriate steps to restrict, deactivate, anonymize, or delete the data where applicable.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date and, where appropriate, provide additional notice in the app or by other reasonable means.
